Organizing Cold Storage Movement Records

Cold storage means your keys stay offline. Your records should follow a similar discipline — clear, dated, and stored separately from the devices themselves.

Before You Move Anything

Write down the reason for the transfer. Common purposes include device replacement, address rotation for privacy, multisig configuration changes, or preparing funds for a planned distribution. This context is what future readers — including you — will need most.

During the Transfer

Record the sending address, receiving address, asset type, amount, transaction hash, and the date in your local timezone. If you use address labels in your wallet software, note those as well. Take a photograph of your hardware device screen showing the confirmation if your wallet displays it.

After Confirmation

Wait for the required number of confirmations, then verify the receiving address balance on a block explorer. Save a PDF or screenshot of the confirmed transaction. Add the entry to your ledger immediately — not next week.

Migrations Between Devices

When replacing a hardware wallet, document both the old and new device models, the firmware versions, and the date of migration. Note whether you verified the receive address on the device screen before sending. This level of detail prevents confusion years later when you cannot remember which device holds which addresses.

Storage Recommendations

Keep movement records in two places: a fire-resistant document box at home and an encrypted backup with a trusted family member or attorney. Never store records on the same device as your wallet software.
